Club Constitution
This is our club’s official constitution. It was first submitted and approved by the Student Organization Resource Center of Arizona State University in 2006.
Philosophy
In order for cultural diversity to exist cultures must remain distinct. If we can not distinguish between cultures then there is only one. One is not diverse. In order for any culture to remain distinct the unique positive attributes of that culture must be recognized and appreciated. With the principle of preserving cultural diversity in mind ASU has opened its doors to, and generously endorses, a myriad of student organizations who seek to spread cultural awareness by celebrating a culture’s diversity. This is one of those organizations.
Article 1: Name
The name of the organization will be German Devils of ASU.
Article 2: Mission
Our mission is to recognize, appreciate, and celebrate the various diverse aspects of the German culture.
Article 3: Membership
There will be two types of membership. They will be known as maroon and gold memberships.
-
Maroon members
will receive emails to inform them of club events and other related activities or information that they might be interested in.
-
Gold members
will receive the same emails as maroon members, but with additional information, and on occasion may receive emails that maroon members do not receive. The additional information will announce opportunities for members to volunteer by passing out flyers, set up and clean up before and after large events, represent us at various events designed to recruit new members and promote our club, and other related opportunities.
Article 4: Officers
There will be multiple officer positions. They are defined as Chief Executive Officer, Workforce Analyst, Marketing Director, Event Coordinator, and Site Administrator. Their responsibilities include, but are not limited to…
-
Chief Executive Officer (CEO)
Primary focus for the Chief Executive Officer (CEO) is on short-term tactical operations management and improvement, which means he or she is responsible for the development, design, operation, and improvement of all the systems that create and deliver this club’s awesomeness. Pragmatically put, the CEO manages the day-to-day activities of the executive officers by establishing short term goals and timelines, delegating duties to Gold Member volunteers, and allocating funds as necessary. The CEO is also responsible for notifying club members of club events and activities.
-
Workforce Analyst (WA)
The Workforce Analyst’s function is to direct our development toward achieving the philosophy, mission, annual goals, and holistic objectives of this organization. They are responsible for assuring that the organization’s mission, procedures, and programs are consistently exhibited in a strong positive light by continually complying with all the rules and regulations put forth by ASU, Arizona State, and the Federal Government (this includes taxes). For this reason they must give final approval on all marketing and club activities before implementation. Their secondary responsibility is to assist other officers with their duties.
-
Marketing Director (MD)
The Marketing Director(s) is responsible for seeking out sponsors through ASU’s vendor program and any other resources their creativity can discover. It is their duty to lead club fundraising, investment, and capitalist ventures. The Marketing Director also acts as human resources in that they design and execute recruitment strategies and campaigns.
-
Event Coordinator (EC)
Event Coordinators are the creative genius behind all of our club’s activities. They focus primarily on holidays such as Oktoberfest, Frühlingsfest, and Christmas, but also prepare us for Orientation Week, Spirit and Culture Day, etc. They are responsible for booking and orchestrating vendors, performers, venues, etc, when necessary. Secondary priorities include organizing unique social activities for our club and finding ways to supplement our meetings.
-
Site Administrator (SA)
The Site Administrator is responsible for establishing and leading the technological vision and development of this organization. Their primary focus is not the continuous design and development of our club’s website, but obligations may extend to include online marketing and graphic design as needed by the Marketing Director or Event Coordinators.
Article 5: Elections
Definitions
- Meritocracy: A system of government whereby the current leaders evaluate candidates and select one to become a leader based on their demonstrated dedication through time, sacrifice, and service as well as their demonstrated ability, talent, charisma, and any other characteristics directly related to the leadership position they are selected for.
- Candidate: Anyone that has been a gold member of the German Devils of ASU for at least two months continuously and immediately prior to the opening of the officer position for which the current club leaders are considering them.
Procedure
- Officers will be selected through a process of meritocracy.
- If the current officers cannot come to a unanimous agreement on which candidate should be selected then a vote will be held among the officers and the candidate with the most votes will be selected.
- If the vote ends in a stalemate then the advisor will vote in accordance with article 7 – section 1.
- The officers must have the advisor’s consent before offering any officer position to any candidate.
- If the selected candidate declines the leadership role offered to them then no candidate will automatically be offered the position by virtue of being runner-up. However, all runner-ups can be considered when the current officers reevaluate the candidates to find a suitable leader to take the position.
Article 6: Meetings
This organization will hold regular meetings twice monthly at a time and location to be decided by the officers, approved by the advisor, and announced to the members.
Article 7: Advisor
Position
- There will be one faculty advisor.
- The advisor will function as a mediator, mentor, and will have voting privileges no less or greater than any regular member except when a vote ends in a stalemate or when the vote alters the status or role of the advisor.
- In the event of a stalemate and if the vote was open to all members then the advisors vote will be counted twice.
- In the event of a stalemate and if the vote was only open to officers then the advisor will cast a single vote.
- The advisor cannot cast a vote when the outcome of the vote will determine the status or role of the advisor in this organization.
Length of Term
The advisor will maintain their status until they resign, retire, are no longer employed by ASU, are removed according to the procedure described by this constitution under article 7 – section 3, or succumb to death.
Removal
The advisor can be removed only after the the following conditions have been met:
- The Student Organization Resource Center of ASU has been notified and their procedure regarding the removal of an advisor has been complied with in full.
- Every officer has individually consulted with the Student Organization Resource Center.
- The officers have unanimously approved another faculty member from ASU to be the new advisor. That faculty member must be made aware of the situation in full and agree to take the position.
- The officers unanimously vote to remove the current advisor.
- The advisor has been removed from the clubs bank account.
- A majority of the members vote to remove the current advisor. In the event that the member vote reaches a stalemate then the officer votes will be consolidated into a single vote and added to the member votes in place of the advisors vote.
Article 8: Amendments
- Only the advisor and officers can call for a vote on an amendment to the constitution, which means that if any member wishes to amend the constitution they must convince the advisor or an officer to call for a vote.
- Only officers can vote to amend the constitution, unless that vote ends in a stalemate in which case the advisor will cast a single vote.
- It is the responsibility of the Workforce Analyst to ensure that any proposed amendment complies with the policies set forth by ASU before it is enacted.
- This club’s faculty advisor must consent to any amendment to the constitution before it can be enacted.
- Any amendment to article 7 must first be approved by the Student Organization Resource Center.
- Any amendment to article 8, section 1, paragraphs 5 or 6, must first be approved by the Student Organization Resource Center.
